Summit Client Services LLC ("Summit," "we," "us," or "our") operates the website summitclientservices.com and provides done-for-you business operations systems for service contractors. This Privacy Policy describes how we collect, use, disclose, and protect personal information when you visit our website, interact with our systems, or use our services.

By accessing our website or engaging with our services, you acknowledge that you have read and understood this Privacy Policy.


1. INFORMATION WE COLLECT

We collect information in three ways: directly from you, automatically through technology, and through systems we operate on behalf of our clients.

Information You Provide to Us

When you contact us, request information, or become a client, we may collect:

  • Full name, email address, phone number, and business mailing address

  • Business name, EIN, service area, trade specialty, and services offered

  • Branding materials such as logos and business photos

  • Billing and payment information (processed securely through Stripe; we do not store full payment card numbers)

  • Any other information you voluntarily provide through our website, forms, phone calls, email, or Facebook Messenger

    When you submit a demo request form on our website and check the SMS consent box, you opt in to receive text messages from Summit Client Services LLC related to your demo request, follow-up communications, and appointment coordination. Message frequency varies. Message and data rates may apply. You may opt out at any time by replying STOP to any message, and you will receive a confirmation that you have been unsubscribed. You may also contact us to request updates to or deletion of your personal information. We do not share, sell, or rent your phone number or SMS opt-in consent with any third parties for marketing or any other purpose.

Information Collected Automatically

When you visit our website, we automatically collect certain technical and usage information, including:

  • IP address, browser type and version, operating system, and device type

  • Pages visited, time spent on each page, referring URL, and click behavior

  • Information collected through cookies and similar tracking technologies (see Section 5 below)

Information Collected Through Client Systems

Summit builds and manages business operations systems for our clients. If you are an end user interacting with one of our clients' systems (for example, a homeowner requesting a service estimate), the following information may be collected through forms, AI receptionist calls, or booking systems we operate on behalf of that client:

  • Name, phone number, email address, and service address

  • Job type, project description, timeline, and urgency level

  • Property details (age, type, relevant specifications)

  • Photos submitted for quoting purposes

  • Call recordings, transcriptions, and AI-generated call summaries

  • Calendar booking confirmations and appointment details

In these cases, our client is the business that controls your data. Summit processes this information on their behalf as a service provider. Our client's own privacy practices govern how your data is used, and we recommend contacting the business you interacted with directly for questions about their data practices.


2. HOW WE USE YOUR INFORMATION

We use personal information for the following purposes:

  • To provide, deliver, and maintain our services, including building and configuring client systems (websites, CRM, AI receptionist, lead pipelines, booking systems)

  • To process payments, send invoices, and manage billing

  • To respond to your inquiries and provide customer support

  • To send service-related communications such as appointment reminders, booking confirmations, and service updates

  • To configure and operate AI receptionist systems on behalf of our clients, including training AI knowledge bases on client-provided business information

  • To measure, analyze, and improve our website performance and advertising effectiveness

  • To comply with applicable laws, regulations, and legal obligations

  • To protect the rights, safety, and property of Summit, our clients, and the public

We do not use your personal information for purposes that are materially different from those described here without providing you notice.


3. AI-POWERED SERVICES

Summit uses artificial intelligence as a core part of the services we provide to our clients. We believe in transparency about how AI interacts with personal information.

AI Receptionist. Our AI receptionist is an automated system, not a human operator. It handles inbound phone calls on behalf of our clients 24 hours a day, 7 days a week. The AI receptionist identifies itself as an AI assistant at the beginning of each call.

What the AI Processes. The AI receptionist processes the following information during calls: caller name, phone number, reason for calling, service address, job details, urgency, and any other information the caller voluntarily provides. This information is used to generate call summaries, transcriptions, and to route inquiries to the appropriate client.

AI Knowledge Base. The AI receptionist's knowledge base is built from publicly available information on our client's website. It does not access, store, or learn from previous callers' personal information to respond to new callers.

No Automated Decision-Making. The AI receptionist does not make decisions that produce legal or similarly significant effects on callers. It collects information, answers questions based on its knowledge base, and routes callers to the appropriate business.

Third-Party AI Providers. AI voice and transcription services are provided by third-party platforms. These providers process call data in accordance with their own privacy policies and data processing agreements. Caller data processed by these providers is not used to train general-purpose AI models.


4. CALL RECORDING AND TRANSCRIPTION

All calls handled by our AI receptionist are recorded and automatically transcribed. This is disclosed verbally at the start of every call.

Purpose. Call recordings and transcriptions are used for service delivery, quality assurance, accuracy of information captured, and to provide our clients with complete records of customer inquiries.

Access. Call recordings, transcriptions, and AI-generated summaries are accessible only to the client whose business received the call and to Summit personnel who maintain the system. They are not shared with any other party unless required by law.

Storage. Recordings and transcriptions are stored on our CRM platform (GoHighLevel) for the duration of the client's service agreement. Upon termination of a client's account, recordings are included in the data export process described in Section 7.

Consent. By continuing a call after the AI receptionist's disclosure, you consent to being recorded. If you do not wish to be recorded, you may disconnect the call and contact the business through an alternative method.

State Law Compliance. Some states require all-party consent for call recording. Our AI receptionist's verbal disclosure at the start of each call is designed to satisfy both one-party and all-party consent requirements.


5. COOKIES AND TRACKING TECHNOLOGIES

Facebook Pixel (Meta Pixel). We use the Meta Pixel on our website to measure the effectiveness of our advertising on Facebook and Instagram. The Pixel collects information about your activity on our website, including pages viewed, buttons clicked, and forms submitted. This data is shared with Meta Platforms, Inc. for the purpose of:

  • Measuring ad performance and conversions

  • Building audiences for targeted advertising (retargeting)

  • Creating lookalike audiences to reach people similar to our website visitors

This means you may see Summit ads on Facebook or Instagram after visiting our website.

How to Opt Out of Meta Tracking. You can opt out of interest-based advertising from Meta by adjusting your ad preferences in your Facebook account settings. You may also opt out of interest-based advertising from participating companies through the Digital Advertising Alliance at optout.aboutads.info or the Network Advertising Initiative at optout.networkadvertising.org.

Browser Cookies. Our website may use cookies (small text files stored on your device) to maintain website functionality and analyze usage patterns. You can control cookies through your browser settings. Disabling cookies may affect certain website features.

Do Not Track. Our website does not currently respond to "Do Not Track" browser signals, as there is no industry-standard protocol for compliance.


6. HOW WE SHARE YOUR INFORMATION

We do not sell your personal information. We share personal information only in the following limited circumstances:

Service Providers. We use trusted third-party platforms to deliver our services. These providers process data on our behalf and are contractually obligated to protect your information:

  • GoHighLevel -- CRM, website hosting, forms, calendars, email, SMS, and automation

  • Stripe -- Payment processing (PCI-DSS compliant)

  • AI Voice Providers -- Call handling, recording, and transcription

  • Meta Platforms (Facebook/Instagram) -- Advertising measurement and optimization via the Meta Pixel

Our Clients. If you interact with a system we built and manage for one of our clients (submitting a form, calling their AI receptionist, booking an appointment), the information you provide is shared with that client for their business purposes. Summit does not control how our clients use data once it is delivered to them.

Legal Requirements. We may disclose your information if required to do so by law, regulation, subpoena, court order, or other governmental request. We may also disclose information when we believe in good faith that disclosure is necessary to protect our rights, your safety, the safety of others, or to investigate fraud.

Business Transfers. In the event of a merger, acquisition, or sale of all or a portion of our assets, personal information may be transferred as part of that transaction. We will notify affected parties of any change in ownership or control of their personal information.


7. DATA RETENTION

We retain personal information only for as long as necessary to fulfill the purposes described in this policy or as required by law.

  • Client business data (leads, contacts, records, call recordings): Retained for the duration of the client's active service agreement. Upon termination, clients may request a complete data export in CSV or PDF format within 30 days. After the export window, data is removed from our active systems.

  • Website visitor data: Retained in accordance with the standard retention policies of our analytics and advertising platforms.

  • Payment records: Retained as required by tax and financial regulations.

  • Communications: Retained as long as necessary to resolve inquiries or fulfill legal obligations.


8. YOUR RIGHTS AND CHOICES

Depending on your location, you may have the following rights regarding your personal information:

  • Access. You may request a copy of the personal information we hold about you.

  • Correction. You may request that we correct inaccurate or incomplete personal information.

  • Deletion. You may request that we delete your personal information, subject to certain legal exceptions.

  • Opt-Out of SMS. You may opt out of text messages at any time by replying STOP to any message. You may also reply HELP for assistance. Opting out of messages will not affect your ability to use our services.

  • Opt-Out of Tracking. You may opt out of Meta Pixel tracking as described in Section 5.

To exercise any of these rights, contact us using the information in Section 12. We will respond to verified requests within 45 days.

We will not discriminate against you for exercising your privacy rights.


9. DATA SECURITY

We implement reasonable administrative, technical, and organizational safeguards to protect personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:

  • Encrypted data transmission (SSL/TLS) on our website

  • Secure, access-controlled platforms for data storage

  • Limited access to personal information on a need-to-know basis

  • Use of PCI-DSS compliant payment processing (Stripe)

No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.


10. CHILDREN'S PRIVACY

Our website and services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information promptly. If you believe a child has provided us with personal information, please contact us immediately.


11. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or for other operational reasons. When we make material changes, we will update the "Last Updated" date at the top of this page. We encourage you to review this policy periodically.

For active clients, material changes will be communicated via email.
