Systems and data

Can AI automate reporting if our ERP has no usable API?

The short answer

Yes. Most reporting does not need an API. If your team can export a report from the ERP, a tool can be built on those exports: it checks each file, does the math in ordinary code and produces the report for a person to approve. Our report tools run on the exports and spreadsheets our clients' teams already use.

Four ways in, safest first

An API is one way to get data out of an ERP. It is rarely the only one. In the order we prefer them:

  1. Scheduled exports. Most ERPs can save a report as a spreadsheet or CSV on a schedule, or email it. The tool picks up the file.
  2. The reports your team already runs. If someone exports the same report every week, that export is the input. Nothing changes for them except the hours afterwards.
  3. Read-only database access. If your IT team allows it: a read-only view of the data, with no way to change anything.
  4. Screen automation, last. Software that clicks through the ERP screens works, but it breaks when the screens change. We use it only when nothing else is available.

Why exports are safer than they sound

An export is data your ERP has already produced and your team already trusts. Building on it means no admin access to the ERP, no connection that can write back into it, and nothing taken offline. Every permission the tool needs is listed in writing, so IT can approve or remove it.

Where the AI fits

The AI should not read numbers off ERP screens or do the math. Getting the data out and calculating with it is a job for ordinary code, which gives the same answer every time. AI helps where the work is reading and judgment: sorting messy inputs, flagging what looks wrong, and drafting a first pass of the commentary for a person to edit.

What it takes from your team

  • A sample of each report your team exports today.
  • About an hour with the person who builds the report now.
  • A seat on your company's AI account, if the work needs one. Accounts stay in your company's name.
  • IT's sign-off on a written list of what the tool can touch.

When this is not the answer

  • Your ERP's own reporting already produces what you need. Use it.
  • The data cannot be exported at all and only lives on screens. Screen automation is then the only route, and we will tell you plainly whether it is worth it.
  • You are replacing the ERP this year. Build only what moves with you, or wait.

Questions people ask next

Do you need admin access to our ERP?

No. Usually the least the work needs: the reports your team already exports and a seat on your company's AI account. Every permission is listed in writing so IT can approve or remove it.

Which ERPs does this work with?

The method does not depend on the ERP. If it can export a report, it works. We also build with QuickBooks, NetSuite, Microsoft 365 and Google Workspace.

What if the export format changes?

The run checks its inputs. If a column moves or a file is missing, it stops and says why instead of guessing. We fix it and check again.

Does our data leave our systems?

It stays in your company's own systems and AI accounts, set up in your company's name. Business AI accounts do not train on your data.

Do we have to replace the ERP?

No. The tool works around the ERP you have, and nothing in the ERP changes.
