Gemini at work

How do I use Gemini in Gmail, Docs and Meet?

The short answer

Nothing to install. It is inside the apps you open every day. In Gmail, press Summarize this email at the top of a long thread, or say what you need in the prompt bar and press Create. In Docs, press the Gemini button for a first draft, or highlight text and press Refine. In Meet, press Take notes for me. It writes. You send.

Which plan has what

On Google Workspace Business Starter, Standard or Plus? Gmail has it on all three. Docs and Meet have it on Standard and Plus. On another plan, ask your IT admin. Sign in with your work Google account on your computer.

Gmail: a long thread, a few bullets

Sum up a thread

  1. Open the long thread.
  2. At the top of it, press Summarize this email.
  3. Read the summary card first. Then read the one email that matters.

Draft the reply

  1. Press Compose (or reply). In the prompt bar at the bottom, say what you need.
  2. Press Create. Read the draft.
  3. Not right? Try Formalize, Friendly or Shorten, or type a new instruction.

The one you've been putting off: "Reply to [name]: we can't do [what they asked] by [date]. Offer [what you can do]. Warm, short, no apology paragraph."

Ask your inbox

At the top right, press Ask Gemini. Type in the box at the bottom, then press Submit. Try: "Create a list of action items for me based on this email."

It writes. You send. Gemini never sends an email for you. Read every draft before you press Send.

Docs: draft, sum up, fix the tone

In Docs, Gemini needs Business Standard or Plus.

The first draft

  1. Open a new doc. Press the Gemini button.
  2. Say what the doc is, who reads it, and how long. To use your own file, type @ and pick it.
  3. It shows its changes in the doc. Press Accept all, or take them one by one.

Paste it, fill in the parts in square brackets: "Write a one-page [proposal / update / SOP] for [who reads it], using [@file name]. Bottom line first, then 3 short sections."

Sum up or fix a part

Highlight the text. On the floating bar, press Refine, then pick one: Rephrase, Shorten, Elaborate, Bulletize, Summarize, More formal, More casual. You get: the long report as bullets, or the rough note as a clean email, without a rewrite.

Make it sound like you

On the bottom bar, press Tools, pick Writing style, and add one of your own docs from Drive.

Check the facts it pulls in. If it drafted from a file, open that file and check the numbers before the doc goes out.

Meet: stop taking notes

"Take notes for me" needs Business Standard or Plus.

  1. Turn it on Join the call. At the top right, press Take notes for me. Press Start taking notes. Everyone sees a pencil icon, so say why at the start. Run the meeting. Talk. Don't type.
  2. Pick who gets them Right before you press Start, you can change a few settings, like who gets the notes.
  3. What you get after A Google Doc with two tabs. Quick notes: the short version, the main takeaways and the action items. Full notes: the summary, the decisions, the action items and the details.

It saves to the organizer's Drive, in the "Google Meet" folder, and is attached to the Calendar event. Invitees get an email with the notes after the call. One language per meeting: English, French, German, Italian, Japanese, Korean, Portuguese or Spanish. Read the decisions before you forward them.

Try these five today

Fill in the parts in square brackets. Each takes under a minute.

  1. Gmail Catch up Open the longest thread you skipped this week. Press Summarize this email.
  2. Gmail The hard reply "Say no to [request], kindly. Offer [alternative] instead. Under 100 words."
  3. Docs First draft "Write a one-page [update] for [my boss] from [@file]. Bottom line first."
  4. Docs Sum up Highlight the longest section of [report]. Press Bulletize.
  5. Meet Your next call In your next internal meeting, press Take notes for me. Read the decisions in the doc after.

Your turn. Monday morning: do 1 and 2 before you open anything else. Count the minutes you get back.

What it won't do for you

  • It won't send anything. It drafts. You read, change and send.
  • It can still be wrong. Check names, dates and numbers before a draft or a note goes out.
  • Your plan sets what you see. Gmail: Business Starter, Standard and Plus. Docs and Meet notes: Standard and Plus.
  • Work account, not personal. The privacy line below is for Google Workspace work accounts. A personal Gmail account runs on different terms.

"Gemini does not share your content outside your organization without your permission." Google Workspace Privacy Hub, work accounts, checked 10 Oct 2026.
